Per MAPP 10.03.01, all protocols and procedures for using the University’s bulk email resources will
be determined and supervised by the vice president for marketing and communication
in conjunction with the vice president for advancement. The only exceptions will be
those policies and procedures implemented to meet specific security and/or technological
requirements.
All UH bulk email will be sent using only approved distribution tools. At this time,
all internal bulk mail must be distributed using SendIt, and all external bulk email will be sent using BBIS. UIT supervises the administration of SendIt, and the Division of Advancement administers BBIS.
All requests will be submitted through the platform. Requests to send to an “all”
audience (e.g., all faculty and staff, or all students) are reviewed for adherence
to editorial and production guidelines. Acceptable submissions will be scheduled on
a master calendar that tracks submission, production, and delivery schedules of all
bulk email, maintaining a balanced distribution schedule.
Additional bulk email guidelines incorporating “best practices” within the industry
to improve technological efficiency and editorial effectiveness may be developed if
deemed necessary by the vice president of marketing and communication and vice president
for advancement.
